Operations Manager Position Description

(Residential Construction, Car Wash & Storage Operations)

Reports To
Director

Team Structure & Reporting Lines
• Direct management of Administration team (2 staff)
• Direct management of Drafting team (3 staff)
• Direct management of Project Managers (4 staff)
• Indirect oversight of all employees and subcontractors (approx. 38 staff)

Purpose of the Role
The Operations Manager oversees day-to-day operations across construction, car wash facilities and storage units, ensuring efficient systems, strong team performance, accountability, and timely project delivery.

Key Responsibilities
1. Operational Leadership
• Oversee operations across all business units
• Ensure workflows, scheduling, and resourcing operate efficiently
• Drive continuous improvement and operational accountability
• Ensure consistency of systems and processes across all business divisions

2. Leadership & Team Management
• Lead and manage team leaders including Project Managers and Drafting team
• Hold Project Managers accountable for timeframes, budget and job performance
• Ensure drafting outputs align with construction timelines
• Delegate effectively and avoid operational bottlenecks

3. Financial & Commercial Management
• Oversee Xero accounting functions and financial controls
• Monitor job profitability, margins, and cost overruns
• Ensure all variations and revenue are captured and invoiced
• Manage cashflow and financial reporting

4. People & Culture
• Manage performance across all teams
• Set KPIs for team leaders and review regularly
• Conduct performance reviews and enforce accountability
• Oversee recruitment, onboarding and workforce planning

5. Project & Construction Oversight
• Monitor job programs and timelines
• Ensure Project Managers are effectively controlling projects
• Oversee variations, invoicing and job completion processes

6. Operational Planning & Capacity Management
• Plan workforce capacity across construction, drafting and administration
• Ensure adequate resourcing for project pipeline
• Identify and resolve capacity constraints early

7. Client & Stakeholder Management
• Ensure consistent and proactive client communication
• Oversee contract, variation and client management processes

8. Subcontractor & Supplier Management
• Manage subcontractor performance and timelines
• Source and onboard new subcontractors and suppliers

9. Systems & Administration
• Oversee reporting, meetings and business registers
• Ensure correct use of systems (Trello, HazardCo, Xero)

10. Car Wash & Storage Operations
• Oversee operation, maintenance and profitability of car washes
• Manage storage unit operations including tenancy and maintenance

11. Risk, Compliance & WHS
• Identify and manage operational risks
• Ensure WHS compliance across all sites
• Monitor incidents and implement corrective actions

12. Communication & Reporting
• Lead weekly operational and project meetings
• Ensure consistent job analysis and reporting outputs
• Maintain clear communication across all teams

Decision-Making Authority
• Authority over operational workflows and systems
• Authority to allocate resources and manage scheduling
• Authority to intervene in underperforming projects
• Escalation of strategic or financial risks to Director
• Autonomous authority

KPIs
• Projects delivered on time and within budget
• Gross profit per hour and job profitability
